OSS® for service providers

# Hold client data offline, on behalf of the clients who trust you

Law firms, accountants, advisers and managed service providers hold other people's most sensitive records. Offline Secure Storage keeps that material physically disconnected and retrieved only when a matter needs it.

- Offline by default
- Identity locked access
- Hardware encrypted

[See the range and pricing](#plans) [Talk to a member of the team](/contact)

## Who this is for

- Law firms and in-house legal teams
- Accountancy and audit practices
- Advisory, consulting and corporate finance firms
- Managed service providers holding client data

Physically disconnected by default, in one of our bunkers.

01 Which one

## Match capacity to the client archive, not the live matters

Live working files stay where your fee earners work. What moves offline is the retained material you are obliged to keep and cannot afford to lose.

[If you hold 01

### One practice, closed matters only

A single office moving closed files and retained records offline, expandable in 20TB steps.

### Multi-office client archives

### Holding client estates at scale

No practical upper limit, with deployment design and Control governance where required.

Enterprise 300TB+ ](#plan-enterprise)

02 Why it matters

## You are holding other people's worst-case data

A breach at a professional firm is not one breach. It is every client on the file, and each of them has their own regulator, insurer and board to answer to.

### One intrusion exposes every client at once

A single archive holding hundreds of matters concentrates risk. Attackers target the firm because the firm holds what their clients would never leave online.

Concentration is the reason firms are targeted.

### Privilege and confidentiality cannot be restored

Once privileged advice or audit working papers are exfiltrated, no remediation puts confidentiality back. The obligation was to prevent it, not to recover it.

Confidentiality is a one-way door.

### Supply-chain exposure is now a tender question

Clients and their insurers ask how their material is held. Being able to answer with a physical control rather than a policy statement wins work.

Diligence questionnaires ask where the copy sits.

### What changes for the practice

Retained client material out of the online estate, retrieved only when a matter needs it.

Closed matters left in live systems

Retained archive held physically disconnected

One breach reaches every client file

Separation by client, matter or engagement

Retention explained in a policy

05 What goes in

## What goes into the vault

Material that must be kept but does not need to be online. It stays physically disconnected until you ask for it.

01

### Client matter files

Case files, privileged advice and closed matter archives.

02

### Client financial records

Audit files, working papers and statutory records.

03

### Retention obligations

Material held for a fixed period with no live access need.

04

### Client recovery copies

Clean copies held offline on a client's behalf.

06 Setup

## How it is set up

Four steps from first conversation to a vault that is offline by default.

1. 01

    ### Map the client archive

Separate live working files from retained material that does not need to be reachable.

2. 02

    ### Deploy the capacity

Storage is held in one of our bunkers, on your premises, or a hybrid of both.

3. 03

    ### Integrate retrieval

Connect API or SFTP so a matter can be recalled without leaving the archive online.

4. 04

    ### Disconnect between sessions

The archive returns to a physically disconnected state once retrieval ends.

08 FAQ

## What partners and IT leads ask first

The objections and questions that come up before anyone commits.

How do we reopen a matter without leaving the archive online?

Can it sit on our premises instead?

What do we tell a client who asks where their data is?

Can we separate one client from another?

How do we recall a matter quickly?

Where is the hardware held?

Do we own the hardware?
